Kutak Rock LLP has an opening for a full-time Receptionist/Legal Secretary in its Minneapolis office. Kutak Rock is a national law firm with offices in 18 locations, and it has an excellent benefits package that extends firm-wide.

The individual will provide receptionist support and backup legal secretarial support for 15 lawyers and five staff members. The selected candidate will be proficient in Microsoft Office products, including Office 2010 or greater and have a minimum of one year secretarial or related office experience. Experience in a law firm given high preference. Word processing and electronic filing experience are preferred. The ideal candidate will have the ability to work well under the pressures of deadlines, prioritize and multi-task, to move from one project to another and to work in a collaborative environment.  In addition to excellent verbal and written communication skills with an aptitude to interface with lawyers, clients and staff.



  • Answering incoming calls, assisting with inquires, directing callers, and taking messages
  • Greeting and directing clients, vendors, and visitors
  • Coordinating and scheduling availability of conference rooms
  • Using Outlook, Word, and other Microsoft Office products
  • General office duties, such as preparing copies, printing e-mails, and documents
  • Organizing and maintaining work room and supplies
  • Must be flexible with hours when work demands; and other duties as assigned


  • Typing documents, pleadings, correspondence, memoranda
  • Submitting state and federal court filings
  • Handles client matters (when appropriate) through telephone and e-mail
  • Using Direct Time Entry (software package)
  • Keeps record of attorney’s time and expenses and submits to Accounting Department in a timely fashion; recapping expense memoranda and other miscellaneous accounting projects as assigned
  • Maintains work calendars by scheduling appointments, conference calls and other meetings
  • Preparing Expense Memoranda
  • Maintains work calendars by scheduling appointments, conference calls and other meetings
  • Prepares travel, hotel and car arrangements by using the internet
  • Organizing and maintaining extensive sets of files, both paper and electronic
  • Using File Surf (software package) and organizing/maintaining sets of files


Education and Experience

  • High School (or equivalent) required; college given preference
  • One year experience in secretarial field; preference given to legal      experience
  • Advanced knowledge of Microsoft Word
  • Experience with Power Point and Excel
  • Excellent grammar and spelling skills
  • Ability to use transcription equipment a plus
