Job Summary

The selected individual will provide secretarial support for several corporate lawyers to maintain an effective and efficient daily workflow. JOB SUMMARY
The primary responsibilities of the Conference Center Coordinator include, but are not limited to, the scheduling and preparation of conference rooms for meetings and or special events, ordering meals, and replenishing/refreshing beverage service during meetings. Kutak Rock LLP has an opening for a full-time Receptionist/Legal Secretary in its Minneapolis office. Kutak Rock is a national law firm with offices in 19 locations, and it has an excellent benefits package that extends firm-wide.


The individual will provide receptionist support and backup legal secretarial support for 15 lawyers and five staff members. The selected candidate will be proficient in Microsoft Office products, including Office 2010 or greater and have a minimum of one year secretarial or related office experience. Experience in a law firm given high preference. Word processing and electronic filing experience are preferred. The ideal candidate will have the ability to work well under the pressures of deadlines, prioritize and multitask, to move from one project to another and to work in a collaborative environment.  In addition to excellent verbal and written communication skills with an aptitude to interface with lawyers, clients and staff.


DUTIES AND RESPONSIBILITIES:
Primary

  • Answering incoming calls, assisting with inquires, directing callers, and taking messages
  • Greeting and directing clients, vendors, and visitors
  • Coordinating and scheduling availability of conference rooms
  • Using Outlook, Word, and other Microsoft Office products
  • General office duties, such as preparing copies, printing e-mails, and documents
  • Organizing and maintaining work room and supplies

JOB SUMMARY
Kutak Rock LLP has an opening for a full time (37.5 hours per week) Litigation Secretary in its Fayetteville office.  Kutak Rock is a national law firm with an excellent benefits package that extends firm wide.

The primary responsibility of this position is to provide secretarial support to multiple attorneys and work alongside a team of other staff members within the corporate legal department.  

This position is an in-office position, Monday - Friday.

JOB DUTIES AND RESPONSIBILITIES

  • Types and/or edits legal documents and correspondence from handwritten, typed drafts or materials brought over from the web
  • Answers telephones and handles client matters (when appropriate) through telephone and email
  • Organizes, correlates and edits drafts of documents for attorneys
  • Scans documents and sends/receives via email for attorneys
  • Keeps record of attorney’s time and expenses and submits to accounting department in a timely fashion; recapping expense memoranda and other miscellaneous accounting projects as assigned
  • Maintains attorney calendars by scheduling appointments for court appearances, conferences and meetings, including receiving court notifications and scheduling docket matters
  • Files pleadings with the various courts, including online filing systems
  • Maintains client files and transcripts
  • Arranges business itineraries by coordinating travel reservations
  • Reads and routes incoming and internal mail; assembles large mailings
